E-mail broadcasts are a special class of electronic messaging as they
typically have large address lists. In Lotus Notes it is easy for a user
to abuse the messaging system by mailing inappropriate or ill-timed
messages to large Groups. Even more concerning, a user receiving a
broadcast message only has to hit the REPLY ALL button to create havoc!
Castcadia is made up of three modules
- Broadcast Manager - manages large volume email broadcasts to Notes
and internet distribution lists
- Subscription Manager - adds an opt-in/opt-out capability
- Group Builder - allows you to dynamically build distribution
Groups from multiple sources such as LDAP directories and SQL
databases
Castcadia provides the ability to capture Lotus Notes broadcast
requests, Review, Approve and Schedule the broadcast and then move it
into a traffic stream separate from other e-mail. With this separation,
broadcasts can be fully managed and controlled:
- Mail Group Abuse – Castcadia prevents the unauthorized use of
group lists.
- Inappropriate subject matter – Prevents distribution of
broadcast material without review.
- Mail document size – Allows limits to be defined on the size of
broadcast documents.
- Reply to all ‘floods’ – Broadcasts are sent to users
individually addressed, and contain no usable group return
addresses, so users cannot reply to the entire group.
- Improper scheduling – Castcadia allows broadcasts to be
scheduled for delivery at times appropriate for the content.
Castcadia is an intelligent e-mail router designed specifically for
broadcast traffic. Rather than being automatically distributed to the
specified group addresses, broadcasts are routed by Domino to the
Castcadia application where they become manageable assets. Within the
Castcadia database, documents are analyzed and processed according to
predefined profiles. These profiles contain rules that are used to
determine review requirements, delivery schedules, routing strategies,
formatting adjustments, and more.
Castcadia automates all aspects of Notes/Domino e-mail broadcasting,
eliminating inefficient manual processes, and reducing overall support
costs. Using Castcadia, organizations no longer have to rely on
cumbersome broadcast handling procedures, home-grown applications, or
unenforceable policies to manage their e-mail broadcasts.

Provides a powerful review mechanism to approve or reject broadcasts,
with configurable action reminder and escalation functions. Flexible
review structure allows multiple levels of reviewers to ensure best
assignment. Reviews can be performed with a Notes client or a web
browser.
Enhances mailing group definition beyond existing Notes/domino
capabilities. Broadcast mailing groups can be based on existing NAB
group lists, specific servers, organizational units, the entire NAB,
dynamic queries on any NAB person document field(s), SQL queries to
enterprise data stores, and external database views.
Provides for scheduled transmission of broadcasts. Can be scheduled
for a specific date and time, specific days of the week, or during

Prevents 'reply to all' problems by sending a uniquely addressed copy of
the memo to each addressed user. Configurable to allow users to reply to
sender only, another address only, or not at all.
Removes duplicate addresses encountered in groups and subgroups to
prevent sending multiple copies of a broadcast to users.
Utilizes a high performance, multiple delivery point architecture, that
minimizes impact on system and network resources.
Monitors delivery progress to assist e-mail support personnel in
tracking delivery problems.
Activity logging and flexible document retention settings for
information asset and audit purposes.
