Classification enables broader control of email &
documents to meet evolving Confidentiality, Distribution-Control and
Retention pressures.
Email classification is a technique for adding metadata and visual labels to email. If applied judiciously,
it offers an effective strategy for managing and controlling email.
Classifications are used to enforce internal ethical walls by preventing sensitive information from being shared inappropriately. An email classification label such as “Mergers and Acquisition Dept Only” used in conjunction with a 'Safe Recipient' list will help ensure that sensitive information is restricted to groups of users with “need to know”. Used in conjunction with a Digital Rights Management System (such as Microsoft RMS), email can be properly protected based on its classification, ensuring that only certain users have rights such as “View”, “Forward”, “print” etc.
Classifications can also specify retention periods to ensure that sensitive emails are not inadvertently deleted while still under one or more legal embargos. For example, email classification labels such as “Retain for 3 years” or “Retain for 90 days” can be read by server-based email archiving systems, which can ensure that the emails are retained for the desired period.
ReSoft now offers the Titus Labs suite of Message & Document Classification Products. The products introduce Classification and Retention labels into Microsoft Outlook, OWA and Microsoft Office applications. Users can be forced to make explicit classification selections before a message can be sent, ensuring that they make conscious decisions about the disposition of sensitive emails.

Archive Evaluation Checklist on the crucial questions to ask before committing to an
Email Archiving solution
The checklist has resulted from examining the issues that have been faced by many of ReSoft International's own customers in selecting appropriate Email Archiving technology. Developed into a series of over 25 questions that need to be addressed, the paper seeks to ensure a successful Email Archiving system implementation. Many of the questions posed are typically not considered in the evaluation cycle and can lead to unforeseen costs or project timescale slippage and include:
- How will the solution manage different classes of message such as calendar items, memos and drafts?
- How does the solution allow capture from existing backup tapes as well as live email?
- How does the solution support traveling users that need access to their own archives while disconnected
from the network?
- How easy will it be for existing staff to include the support of the solution into their day-to-day tasks without needing to learn complex new technologies?

Fundamental shift in
email stealth attacks on corporate networks
in 2006 is forecasted, fuels the need for better email perimeter protection.
In its 2005 Global Business Security Index Report, IBM anticipates a fundamental shift in cybercrime from global outbreaks to smaller, stealthier attacks targeted at specific organizations for extortion purposes. IBM believes criminals will focus their efforts on convincing end users to execute the attack. Of most concern, in 2005 approximately two to three targeted email attacks were intercepted each week and were financially, competitively, politically or socially motivated and directed at government, military and large commercial organizations.
In parallel, Eugene Kaspersky, head of virus research at the Kaspersky Lab stated in a recent paper that AV software companies are on the losing end of the "virus arms race" against new malware.
As email is typically the initial delivery mechanism for these payloads, now more than ever, organizations need to look at pro-active, non-signature-based
perimeter-threat-filtering solutions such as the Avinti iSolation Server to combat email threats.
