Mail Attender offers email policy and mail-file size management for both Lotus Notes and Microsoft Exchange environments by providing Email Content Filtering, Email Quota Management, Mailbox Scanning, Document Retention, Reporting and Archiving against existing email databases. Version 4.2 for Lotus Notes offers many new features including:

Activity Processing - a mail user can be prevented from deleting documents from their mail files if they contain certain characteristics (keywords, dates, sender/recipient). In the aftermath of Enron, this prevents electronic shredding of Notes documents that may need to be kept for legal reasons

Attachment Processing - Mail Attender will now process Attachments by Folder, exclude Attachments by Name, include the 'Folder Name' in the notification to the user

Document Processing - Mail Attender 4.2 allows you to 'Remove' documents from Views,
Retain Folder structure during Document archiving, Automatically create Personal Archive databases, Accrue granular Reclamation Statistics for Document deletions and provide 'Grandfather' capability for Document 'By Retention' restriction.

Mail Restrictions - you can now use 'Soft' or 'Hard' Quota size as dynamic size, Specify Notification subject per Mail Restriction

Out of Office - can now forward mail using Out of Office, disable Out of Office requests
allow Administrators to create an Out of Office request for any Mail user, allow Duplicate Replies to senders  allow Reply with History to senders

Quotas -  Quota Deviation by Server View, exclude uses who have Out of Office enabled

Miscellaneous - can now locate 'Orphan' Mail databases

Applications for Mail Attender

Mail Attender is often used to:

a). provide an automated document retention/deletion capability where the user is forced to take an action to keep a document beyond the retention period.

b). provide ad-hoc searching capabilities to identify inappropriate or threatening emails or attachments already residing in the  mail system to help in:

• legal discovery: identify emails relating to a specific legal action
• email policy:  identify inappropriate or threatening emails or attachments - viruses, mp3 files, avi files, mail containing particular keywords etc.

c). offload attachments into a separate 'Archive' database with a link contained in the original email message, saving disk space allocated to the Mail database
